The five-minute window that decides your close rate

The most expensive gap in most businesses is not between spend and leads. It is between a lead arriving and anyone responding to it.

Intent decays fast

Someone filling in a form is at their highest intent in that moment. They are on their phone, thinking about your thing, and, critically, they probably filled in two or three other forms in the same session.

An hour later they are doing something else. A day later they have forgotten which businesses they contacted. Whoever replied first has already had the conversation.

You do not have to be the best option. You have to be the one who answered.

Why it fails

Nobody decides to ignore leads. It fails structurally:

  • The notification goes to an inbox nobody watches during working hours
  • The person who handles enquiries is on a job site
  • Leads land somewhere with no owner, so everyone assumes someone else has it
  • There is no record, so nothing gets chased

Every one of those is a systems problem wearing a discipline costume.

What to build

Instant acknowledgement. An automated reply within a minute that confirms receipt and sets an expectation. Not a sales pitch, just a human-sounding note that buys you time.

Routing with an owner. Every lead assigned to a named person on arrival. Unassigned leads become nobody's problem.

A real sequence. Most conversions happen after multiple touches. One call and one email is not follow-up.

Visible tracking. If you cannot see how long leads sat before first contact, you cannot fix it.

None of this is complicated. It is just unglamorous, so it does not get built, which is why fixing it is usually the cheapest gain available to a business already spending on ads.
